Acceptable Use Policy

This policy is part of our Terms of Service and sets out what you can and can't do with HeyDesk. It applies to you, your staff, and anyone you allow to use your account or configure your receptionist. You're responsible for making sure everyone using your account follows it.

1. The basics

  • Use HeyDesk lawfully, including under Australian privacy, telecommunications and spam laws.
  • Make any disclosures to callers the law requires of your business, including about call recording, and get any consents you need.
  • Keep your login details secure and remove access for people who no longer need it.
  • Keep the business information your receptionist works from accurate. It says what you tell it to say; don't set it up to mislead callers about prices, availability or anything else.
  • Cooperate with us if we need to investigate suspected misuse.

2. What you must not do

Unlawful or harmful use. Don't use HeyDesk to break the law, defraud anyone, harass, threaten or defame people, discriminate, incite violence, or handle content that exploits children.

Deception and impersonation. Don't configure your receptionist to impersonate another business or a real person, misrepresent who is calling or answering, or engage in misleading or deceptive conduct.

Privacy and recording. Don't record or monitor calls without the consents or disclosures the law requires, and don't process personal information you have no lawful basis to hold.

Sensitive data. Don't set your receptionist up to ask callers for payment card numbers, Tax File Numbers, Medicare numbers, passport or licence details, passwords, or health information. It's a receptionist, not a secure form.

Regulated advice. Don't rely on the receptionist to give medical, legal, financial or other regulated advice. It can share the factual business information you provide (like prices and hours) but advice needs a qualified human.

Spam and artificial traffic. Don't use HeyDesk for unsolicited marketing, spam, artificially generated or inflated call traffic, or anything that breaches the Spam Act or telecommunications rules.

Security and the platform. Don't probe, scan or test our systems for vulnerabilities without written permission, bypass access controls, introduce malware, scrape the service, resell it, or use it to build or train a competing product. Don't attempt to extract the underlying models, prompts or configuration.

3. Emergency services

HeyDesk is not a substitute for emergency services and can't connect callers to Triple Zero (000) or 112. Don't present a HeyDesk-answered number as an emergency line or use it where a failed or misunderstood call could put someone at risk.

4. Fair use

Plans include generous concurrent call handling and metered call time. If usage patterns look automated, abusive or far outside normal business use, we may throttle, require a plan change, or suspend the service. Where practical we'll talk to you first.

5. What happens if this policy is breached

Depending on how serious the problem is, we may remove content, disable features, suspend the receptionist or terminate the account. For urgent legal, safety or security risks we can act immediately; otherwise we'll give you notice and a chance to fix things. Where we suspend service, we aim to forward your calls to your verified mobile rather than leave a dead line. If you think we've got it wrong, reply to the notice or email hello@heydesk.com.au and we'll review it promptly.

6. Requests from authorities

We respond to valid legal processes from law enforcement and regulators. If you receive a legal notice that affects your use of HeyDesk, let us know promptly.

7. Changes to this policy

We may update this policy as the service and the law evolve. Material changes get at least 30 days' notice by email or in the dashboard before they take effect.

8. Governing law and contact

This policy is governed by the laws of New South Wales, Australia. Questions or reports of misuse: hello@heydesk.com.au.
